Start with the programme
Delegate numbers are a starting point. Tell us whether the audience will be seated theatre-style, working in groups or moving between plenary sessions and breakouts. A large stage set, exhibition area or demonstration space can change the room requirement considerably.
We use the brief to explore suitable venues, obtain offers and help you compare the options. If overnight stays are needed, we consider the meeting spaces and accommodation together.
Details that make the shortlist useful
- Expected and maximum delegate numbers, with the required seating layout.
- A draft programme, including concurrent breakouts and networking time.
- Stage, screen, sound, Wi-Fi and presentation requirements.
- Exhibition, registration, catering and accessible circulation space.
- Travel priorities, preferred dates, budget and any flexibility.
Comparable options, with a personal team
Venue proposals should be assessed against the same brief. We discuss rates and requirements with venues, present the options and help arrange site visits. The selected venue confirms its facilities, services, availability and contract terms.
Our service is free to the client and funded by venue commission. We support the venue search through the contract stage; subsequent event coordination is between you and the venue.
